Club Affiliation

What is affiliation?

Teams are required to affiliate each season. Affiliation is the process by which Clubs “register” with Wiltshire FA, allowing them to play affiliated football for the season. It involves telling us which teams you’ll be running, which County Cups and Leagues you will be entering, as well as key Club Officials and Team Officials involved in running your Club.

Why should teams affiliate with Wiltshire FA?

It is through affiliation that the football family is brought together and correct standards, safeguarding and discipline are maintained, it allows the us to govern the game in Wiltshire.

Affiliation acts as a quality assurance and as a safety net to help protect players, clubs, officials and administrators throughout the game.

How do I affiliate my team?

Affiliation is completed online using the Club Portal on Whole Game System.

 

Please ensure you have completed the following steps to start the affiliation process.

Step 1Clear all outstanding debt. You will not be affiliated until all debt has been paid.

Step 2Login to Club Portal here

Step 3Select ‘Team’ on left hand side of the page.

Step 4 This will take you to a page with all the clubs teams listed. Please ensure all teams for the 2023/24 are listed.

Step 5Ensure all team requirements are green. Any red requirements must be amended before affiliation.

Step 6Once each team is listed and the Officials, Qualifications and Team Grounds are green you must select ‘Manage Competitions’ on the top right of the page and assign each team into the correct league.

Step 7Once each team is in the correct league please select ‘Manage Competitions’ then ‘Manage County Cups’. Please select a team then press ‘Next’ to see what County Cup they can be allocated too. This process must be completed for each team as entry into the competitions is mandatory.

Step 8You are now ready to affiliate. Select the ‘Affiliate Team’ at the top of the page next to the ‘Manage County Cups’ button and work through each step until completed. Once completed and paid you will be affiliated.

When is the Team affiliation window open?

You will be able to access your Club Affiliations for Season 2023/24 in the Club Portal (WGS) from 12 June 2023.

Public Liability Insurance

County Cover, provided by Bluefin, is mandatory for all clubs and is purchased through the Affiliation process.

(If preferred you can provide proof of alternative cover you have taken out independently.  If you have alternative cover, please upload your policy document within your affiliation application.  If no documentation is included with your application, it will be assumed that you do not have alternative cover and County Cover will be automatically added and purchased with your affiliation.)

Personal Accident Insurance

Clubs must also evidence they have Personal Accident Insurance in place for the duration of the season for all of their teams. 

This document should be uploaded within your Affiliation application.  No application will be approved without this document.

DBS

For those in eligible roles within football to have a DBS, this is in line with legislation and government guidance and is standard practice, can you ensure your club are activating this and ready for affiliation.

16 and 17yr olds playing in  open age football (Adult Football)

Please read this guidance and ensure that all coaches and managers of U18s within open again (adult football) hold an in-date DBS check and complete the relevant safeguarding education.

Player Reg

As we continue to see the benefits of having players registered through the Club Portal (Whole Game System, we are aiming to have all email addresses for every player registered online. If would be extremely helpful to us and our leagues if clubs can enter their players email addresses (for players U16 a parent/guardian email address will be required) as from the 2021/22 season all players must be registered though WGS. 

Can you please ensure if a player is no longer with your club, can you please  detach the individual as this will help with data.

England Football Accredited

England Football Accreditation the new framework for league and clubs and replaces the FA Charter Standard. As an accredited League or Club, you will automatically be transitioned onto the new England Football Framework. Coaches to hold at least a Level 1 coaching badge.

The Good Game

Be a Champion!

Become a Good Game Champion and do your club the world of good. 

You don't need to be an expert to show your commitment to the environment, simply be the person to ask questions, make suggestions, chat and debate about the small steps you could take to reduce your environmental impact.
